HR Business Executive - Maternity Cover

A position has arisen for a HR Business Executive on a 12 month fixed term maternity cover within our Human Resource team based in our Corporate Branding and Communication offices in London. The key purpose of this role will be to provide the HR Business Partner and Human Resources department with the relevant organization and administrative support required.

The HR Business Executive will be responsible for the full inbox and diary management of the HR Business Partner, ensuring she is aware of all urgent and high priority matters, to create HR weekly notes for the Executive Board Member and to act as a support with all daily and strategic tasks within the HR Team. The role holder will also deputise for the HR Business Partner, representing her position in her absence.

Main duties will include but are not limited to:

  • To work closely with HR dept in daily activities and to provide relevant administrative support
  • To assist with the production and collation of regular reporting and presentations, including the logging of all relevant data
  • Full inbox and diary management of the HR Business Partner, ensuring she is aware of all urgent and high priority matters
  • Drafting of emails on behalf of HR Business Partner
  • Ensuring all jour fixes are scheduled in the diary – global time zones
  • Gifting as and when required
  • Note taking during meetings/calls when required
  • To create HR weekly notes for the Executive Board Member
  • Attendance in key meetings as and when required by the HR Business Partner
  • Communicating important instructions to relevant parties in relation to operational support initiatives and policies
  • Anticipating what information will be required in advance of internal management meetings and preparing such information in a timely manner Liaising with all key departments to ensure provided information is correct
  • Ensuring all key dates are in the HR Business Partner’s diary and flagged appropriately
  • Provide detailed itineraries for organized trips and meeting to all relevant parties
  • To accurately complete all administrative duties such as filing for the operations departments

The ideal candidate will have the following skill set and experience:

  • Degree level educated or equivalent
  • Excellent Microsoft Office skills particularly Outlook, Excel and PowerPoint
  • Background/experience in Human Resources essential

  • Experience working cross functionally/across various departments
  • Experience liaising at C level/Board level
  • Ability to multi-task and prioritize effectively
  • Prior experience supporting a senior management member

Competencies required:

  • Highly organised and detail orientated

  • Good communication skills, both written and oral

  • Time management – ability to work to tight deadlines

  • Microsoft Outlook, Excel, PowerPoint and Word

  • A strong interest in HR/Recruitment practices
